- Accepted Prior To
- The last date invoices can be submitted against a matter. Typically populated for matters that have been closed or reopened by the client. Displayed under the Matters page in CounselGO.
- Accruals Submission
- User permission in CounselGO to receive and respond to requests submitted by clients for estimates on unbilled work for a future time period.
- Activity Code
- Alphanumeric code typically prefixed by the letter 'A' that classifies the type of activity for an invoice line item. Codes follow the LEDES Uniform Task-Based Management System (UTBMS).
- Admin
- User in CounselGO with administrator permissions to add/manage timekeepers and other CounselGO users.
- Approved/Paid
- Status of invoice that has been approved and/or paid by the client.
- Attributes
- General details about a matter to which your firm is assigned for invoicing purposes. Attributes include matter name, description, and Client Matter ID.
- Billed Amount
- Total amount submitted for an invoice prior to any adjustments made by the client in SimpleLegal. Includes any deductions or discounts made by the firm before submitting it to the client.
- Billing Period
- Beginning date and end date for the period of time covered in an invoice (e.g., first day of the month and last day of the month). All invoice line items must fall within this date range.
- Budgets
- Section in CounselGO where users can respond to budget proposal requests sent by clients from SimpleLegal. Budget proposals are used by clients to forecast and track legal spend for referred matters in collaborative manner with law firms.
- Classifications
- Level or role of a timekeeper (e.g., Associate, Partner, Paralegal, etc.).
- Client Matter ID
- ID assigned to a matter for your client in SimpleLegal. These are used to associate invoices and line items with specific matters for tracking and billing purposes.
- Clients
- Section in CounselGO that lists the SimpleLegal clients a firm is working with.
- Close Date
- Date a legal matter was closed by a client in Simplelegal. This is located under the Attributes tab of a matter record in CounselGO. Displays N/A if the matter is still open.
- Cost/Rate
- Flat fee or hourly rate being billed for a line item on an invoice.
- Draft Invoices
- Invoices that have been created in CounselGO but are not yet submitted. This includes manual invoices saved as drafts for completion at a later time along with LEDES invoices that were not successfully submitted and require further review or correction.
- Effective Date
- Date a timekeeper is considered to be officially active; required field when adding or uploading new timekeeper rates into CounselGO for client approval.
- Expense Code
- Alphanumeric code that signifies the type of expense for an invoice line item. Typically prefixed with the letter 'E' based on LEDES UTBMS.
- Files
- Sections in CounselGO where your firm can share files with the client in SimpleLegal or view files shared by the client with you. Access depends on assigned roles and permissions. General files can be accessed from the navigation bar and matter files can be accessed from individual referred matters in CounselGO.
- Invoice Date
- Date an invoice was generated via a firm's billing software or manually generated via CounselGO.
- Invoices
- Section in CounselGO that shows all invoices created by users from your firm for the specific client record. This includes draft invoices and invoices in the following statuses: Received, Rejected, and Approved/Paid.
- Law Firm Internal
- Timekeeper data, such as names, classifications, and rates, that remain in CounselGO and are not shared with clients. This is used primarily if clients do not have timekeeper validation enabled in SimpleLegal and do not require rates to submitted for approval.
- LEDES Files
- Legal Electronic Data Exchange Standard (LEDES) invoice file format commonly used by vendors to submit invoices directly to clients.
- Level
- Level or role of a timekeeper (e.g., Associate, Partner, etc.). Also displayed as Classifications.
- Line Item
- Item added to an invoice to bill for work completed in support of a legal matter. Line items can be designated as flat fees, expenses, or hourly fees.
- Matter Group
- Also sometimes referred to as Practice Area or Practice Group.
- Matters
- Section in CounselGO that lists all matters assigned by a client to a vendor.
- My Clients
- List of clients shown under the Clients section of CounselGO. If you are supporting more than one SimpleLegal client, you can switch between their records from this list to submit or view invoices, view matters, and complete additional tasks.
- New Invoice
- Button in the top navigation bar of CounselGO that presents users with options for submitting an invoice (i.e., Upload LEDESS files, Convert PDF to Invoice, or Create Invoice Manually).
- Non LEDES
- Entry of invoice details in CounselGO for submission to a client in SimpleLegal. This can be done through our manual entry form or by converting a PDF into an invoice.
- Open
- Refers to tab under Invoices section in CounselGO that stores invoices in Received status. These invoices are pending review and approval from your client.
- Open Date
- Date a legal matter was opened by the client in SimpleLegal. This is located under the Attributes tab of a matter record in CounselGO.
- Originator
- Initials of the CounselGO user who submitted an invoice to the client in CounselGO.
- Our Adjustment
- Column for line items on submitted invoices that displays any deductions or discounts made by the firm before submitting the invoice to the client. Displays a negative amount to signify the amount was deducted from the line item total.
- Rate
- Hourly rate or flat fee at which a timekeeper bills work or services completed. This rate is required when uploading timekeepers for client approval in CounselGO.
- Rack Rate
- The official rate at which a timekeeper bills work. This is the same as the Rate unless a different amount has been negotiated with a specific client.
- Referred Matters
- Matters assigned by a client in SimpleLegal to a vendor in CounselGO.
- Rejected
- Status of an invoice that was not approved by a client or status of a timekeeper whose rate was not approved by a client.
- SimpleLegal
- System used by clients to manage vendor assignments, invoices, and related activities.
- Status
- State of an invoice (e.g., draft, approved, etc.); a timekeeper added to CounselGO (e.g., pending, approved, or rejected); or a budget proposal submitted to a client (e.g., approved).
- Submitted Invoices
- Invoices that have been sent to the client for review. These invoices can be in one of the following statuses: Received, Rejected, or Approved/Paid.
- Submitted to Client
- Timekeeper rates that have been submitted to the client for review/approval.
- Task Code
- Alphanumeric code that signifies the type of task or project performed by a timekeeper or firm for a specific line item per LEDESS e-billing standards.
- Timekeepers
- Employees from a firm who perform billable work for clients.
- Type (Budgets)
- Whether a budget proposal requested by a client is for a Monthly Budget, Quarterly Budget, Phase Budget, or Life of Matter Budget. Displayed under the Budgets page in CounselGO.
- Type (Invoices)
- Type selected for a line item amount, such as a flat fee (IF), hourly rate (F), or expense (E).
- Units/Hrs
- The quantity or hours billed for a line item or the invoice total.
- Updates
- Tab in assigned matters where CounselGO users with the Matter Updates role can view comments shared by the client and also post/respond to comments.
- Users
- Employees from a firm added to CounselGO to submit invoices and track assigned matters.
