If adding only a few timekeepers to CounselGO at one time, you can use the web form to fill in optional and required fields.
TIP: Before continuing with these instructions, we recommend reviewing this article for general information on adding timekeepers, including upload options and required/optional fields.
To continue with the web form:
1. From the Timekeepers page, click +Add in the top-right corner and select New Timekeeper.
2. Click Get Started under Web Form.
3. Enter/select information for required and optional profile fields (i.e., fill in one row per timekeeper). Below are the minimum required fields; for more information about optional fields, click here.
- ID (unique ID of up to 10 characters; can include letters, numbers, and spaces)
- First Name (text format up to 25 characters, including spaces)
- Last Name (text format up to 25 characters, including spaces)
- Country (choose option from dropdown list)
NOTES:
The web form scrolls to the right. Make sure to fill in required fields (*). Use the Clear column at the far-right to erase data you entered for a row, or click the Delete icon to remove the row.
If you need to enter details for more than five timekeepers, click + Add 5 Rows from the bottom-left corner of the form.
4. Click Next at the bottom of the form to fill in any requested diversity data. This only appears for clients with diversity data collection enabled for vendors; otherwise, skip to Step 7.
5. Diversity fields are optional; select from the list of values, choose Prefer not to say, or leave it blank. For more information on values listed for diversity fields, click here.
6. Click Next to fill in rate information.
7. Enter/select the following information and then click +Add Rate for the first timekeeper:
- Currency (required; select an option from the dropdown list)
- Billed Rate (required; enter number using 00 or 00.00 format with no commas)
- Rack Rate (optional; enter number using 00 or 00.00 format with no commas and value must be greater than or equal to the Billed Rate)
- Effective Date (required; use date picker; if the timekeeper has any pending or approved rates, the Effective Date must be different than the date for those rates)
- Reason for Request (optional; enter comment into the text field, if applicable)
8. If you are submitting more than one new timekeeper, click on the next timekeeper's name from the left side of the page.
9. Enter the rate information per Step 7 above for remaining timekeepers. Make sure to click +Add Rate to store the rate information before moving on to the next timekeeper on the list.
10. Click Next at the bottom of the page when finished adding rates for all timekeepers.
11. Click Edit next to the section headings (e.g., Profile) to change any details for a timekeeper.
NOTE: If you added more than one timekeeper, make sure to switch between the timekeepers from the left side of the page to review and confirm the information before moving forward.
12. Click Submit for Approval at the bottom of the page.
13. Click OK in the confirmation window.
The submitted timekeepers appear on the list as Pending. The status will update once the client approves or rejects the timekeeper rates in SimpleLegal.
Admins in SimpleLegal have the option to send manual email notifications to the submitter or other users from your firm for individual batches of submitted rates.
NOTE: If a rate is valid and the client only needs you to change a timekeeper's classification or other information, they no longer need to reject the rate to request this change. Instead, they can continue with approving the rate and you can make the change from the timekeeper's profile.
