Timekeepers are people from your firm who perform billable work or services for clients. You can add and manage timekeepers and their rates for use on invoices submitted to clients.
Not all firms and clients use the Timekeepers page. It may be optional based on your agreement with the client and their billing guidelines. If your firm only uses LEDES files, for example, you only need to add timekeepers via CounselGO if the rates must first be approved by the client.
NOTE: For CounselGO billing, your firm should maintain a list of timekeepers specific to each client. There is not a master list of timekeepers that can be applied across all your clients.
To view or add timekeepers, choose the client from your CounselGO list and then click on Timekeepers from the navigation bar on the left.
The Timekeepers page is separated into two tabs:
- Submitted to Client: Displayed by default if your client requires that timekeeper rates be submitted via CounselGO for approval in SimpleLegal before invoices are accepted.
- Law Firm Internal: If client approval is not required for timekeeper rates, this tab can be used to enter timekeeper information so that the timekeepers and rates populate when manually building invoices with hourly line items. For more information, click here.
ADDITIONAL NOTES:
- Timekeeper rates submitted to clients do not automatically appear on the internal tab.
- You can have the same timekeepers with different rates between the client and internal tabs.
- You can also have the same timekeeper with multiple rates within the client and/or internal tabs by using unique Timekeeper IDs.
Submitted to Client
You can do the following from this tab:
- Show <25> entries. Select a number from the dropdown list to set the number of timekeeper records to show per page. By default, each page shows up to 25 records.
- Search. Enter a timekeeper's first and/or last name or classification in the search field and then press enter on your keyboard to return matching records.
- All | Pending | Approved | Rejected. Use the tabs above the table to see all timekeepers submitted to the client (default) or filter the list by status (i.e., pending, approved, or rejected).
- Submit Timekeepers. Click the button to upload and submit new timekeeper rates for approval (e.g., name, classification, rate, etc.) by using one of our templates or the web form.
IMPORTANT: You cannot delete or edit timekeeper information that has already been submitted to a client. For more information, click here.
The table displays the following columns based on information entered during timekeeper upload:

ID | Timekeeper identification (usually numeric or alphanumeric) |

Last Name | Required during upload. |
Classification | Timekeeper role/title or level, such as Partner or Paralegal (if provided). Depends on information entered during upload. |
Currency | 3-character ISO code such as USD, CAD, etc. Here is a list of ISO 4217 currency codes. See "Active Codes" |

Hourly rate submitted to the client for approval. |
Effective Date | Date this rate went into effect. |
Created Date | Date this record was uploaded to CounselGO. |
Status |
Whether the rate is pending, approved, or rejected. Green shows at the end of the row for approved timekeeper rates, and red shows for rejected timekeeper rates. |
Law Firm Internal
You can do the following from this tab:
- New Timekeeper. Click on the button to add a new timekeeper, including their name and rate. Appears as an option when adding line items to a manual/non-LEDES invoice.
- Edit/Delete Timekeeper. Click on a row from the table to edit the timekeeper information or remove the record from CounselGO.
NOTE: Deleting a timekeeper from this tab will not remove them from the client tab, if applicable.
The table displays the following columns of information for each internal timekeeper:
Column | Description |
ID | Timekeeper identification (usually numeric or alphanumeric). |
First Name | Timekeeper's first name. |
Last Name | Timekeeper's last name. |
Title | Classification option selected from dropdown list in the form (e.g., Associate, Partner, etc.). |
Cost/Rate | Hourly rate that can be used on associated invoice line items. |
